One Solution for All Your HR & Payroll Needs

In the past, it was impossible to group payroll processing across multiple locations in Asia under one solution. Multi-country organisations commonly relied on different HR systems to process country-specific payroll regulations or had to rely on services with limited in-country support.

Links One approaches Asia payroll differently from other competitors in the sector. It consolidates payroll, benefits, and reporting needs into one place making managing payroll in Asia easy and effective.

Links One is a cloud-based payroll solution that harnesses the power of multi-country payroll management. Links One centralises your payroll data from different locations into a single dashboard making it easy for reporting. It is backed up by Links Integration Hub, consolidating data from different locations and formatting data into a standardised form so clients can easily report, compare, and evaluate. So whether you’re in Hong Kong, Singapore or anywhere else, with Links One, you’ll be able to access key payroll information.

Frequently Asked Questions (FAQs) in Hong Kong Payroll

Payroll outsourcing services is the outsourcing of your company’s core payroll operational functions such as payroll calculation, salary disbursements, leave, claims and time and attendance to a third-party payroll service provider.

Companies typically use this to free up their in-house resources and HR team from labour-intensive and mundane work to focus on more strategic and important aspects of HR activities such as talent sourcing or employee engagement.

This service sometimes mistaken with PEO. The key difference is that payroll services do not cover local employer of record services. This means employees are housed under your company’s entity with the purpose of professional payroll services being to ensure your workforce’s salary and financial HR matters are executed accurately in a seamless and efficient manner.

Payroll outsourcing works by having a payroll service provider handle the administrative and compliance functions of paying employees. This is especially useful for companies growing their workforce at a rapid rate or are struggling to keep up with local regulatory compliance, MPF contributions and more.

Once payroll is set up properly with a professional payroll service, payroll management (even for multi-country) is fairly straightforward. Professional payroll services ensure your employees are paid accurately, on-time and give companies the peace of mind that their business is fully compliant with local regulations around MPF contributions with dedicated help desk support.

Besides cost, key things to note when deciding to outsource your payroll are:

  • Service coverage (location & scope)
  • Information Security and data privacy
  • Level and location of support

At Links, we offer flexible Asia payroll covering 18 locations across the Asia Pacific. Using a 100% in-country service delivery model, companies can safely rely on us to deliver their payroll.

You should weigh out the Pros & Cons before handing over the responsibility for paychecks to an outside service. Outsourcing payroll has many advantages but it may not be right for everyone.

Pros:

  • Cut costs for in-house payroll
  • Eliminate manual errors or fines for missing compliance deadlines
  • Streamlined HR operations
  • Service guarantee – Accurate MPF and average daily wage calculations
  • Major time saver- Free up resources to drive business strategies

Cons:

  • Using a poor payroll services company can produce errors (and headaches)
  • Delayed response from substandard service providers
  • Hidden costs/ Could possibly be paying for services you don’t need

The key to reaping the benefits of outsourcing your payroll is to rely on a trusted service provider. Start driving HR value with payroll services so you can deliver on business strategies like hiring, developing, and retaining your company’s top talent.

The monthly cost starts at $90HKD per employee (subject to minimum charges). This cost will of course vary depending on a number of factors including the number of headcounts, where they’re situated and the level of service you require. Additional costs of payroll may include one-time implementation fees for the payroll system setup, parallel run data migration, and integration costs with other HR systems (HRMS/ HRIS).

While most clients are careful to go through service terms for their payroll, some overlook the data migration and integration process which is key to having a smooth-running payroll. By engaging with a reputable and professional payroll management service provider you can ensure a higher level of service guarantee, giving you a seamless integration, securing your data and protecting your HR future.

How secure your outsourced payroll is is directly related to the payroll provider you pick. Your payroll can be very secure, as long as you partner with a reputable company. Certifications are a good indicator of their service hygiene and guarantee. A reputable payroll vendor will have ISO 27001, and SOC2 certificates.

Data privacy lays the foundation of our solution and data security is at the core of our product development. As such, Links payroll solution is hosted on Microsoft Azure, leveraging Microsoft’s best in class security standards and certifications (e.g. SOC 1, SOC 2 etc.). Our payroll also has encryption at rest and in transit, VPN and SFTP secure transfer of information, ISO 27001 certification, Data Loss Prevention, Regular penetration testing and vulnerability scanning, GDPR and local privacy law compliance, IP whitelisting, CI/CD, continuous automated testing and use of Single Sign-On and Multi-Factor Authentication. Feel free to contact one of our reps for more information.

Key things to consider when choosing the right payroll and HR service provider:

  • Payroll experience
  • Costs (Be wary of unreasonably cheap offers or that sounds too good to be true!)
  • Level of customer support
  • Location coverage
  • Data integration capabilities
  • Payroll tax compliance management
  • Data security
  • Technology they use

A competent and experienced payroll provider should be able to answer any questions for the above with ease and provide actual case studies of successful implementations.

A good RFP can greatly shorten the process. Make sure to consider your business needs and priorities as they will determine what your best payroll service looks like. For example, for many of our clients, an invaluable advantage we give them is the 100% in-country support within Asia Pacific as it beats dealing with language complications and different time zones.
